Guidelines To Membership Applications

Membership Application

Important Information For Proposers, Seconders and Referees

If you are considering proposing a Candidate for Membership of the Club, the Proposer must in the first instance, read the document below, and then complete the following online form – Membership Request Form

It is a privilege of membership that members may invite their family, friends and colleagues to enjoy the Club with them as fellow members. We are delighted you have chosen to do so.

It is important that you understand by inviting a person to join, you are personally endorsing that they will be a compatible member. By sponsoring a new member to RAGGC, you will be held by the Committee as personally responsible for their integration into the Club. It is therefore important that the Proposer, Seconder and Referees know the person well, and support the nomination without reservation.

Membership Applications are available online.

The Proposer and Seconder must be playing Intermediate or Adult Members of the Club. They, along with the Referees must have been members of the Club for 5 years, as well as have known the candidate for 5 years. The Referees, of which 6 are required, also need to come from a diverse cross section of Club membership.

The Proposer must advise the Intermediate and Adult Candidates before applying that:

  • There is an administration fee of $1000 which will be invoiced once the Candidate has submitted their online form. This is a non-refundable deposit that will be credited against their Entrance Fee when they are accepted as a new Member.
  • There is a Membership Waitlist which is monitored regularly, and which the Committee reviews fully at the end of each subscription year to evaluate the number of transfers and resignations from all membership categories. From this evaluation they can then determine the number of new members they may allow into the Club the next subscription year.

The Seconder must be prepared to step in as the Proposer if the Proposer is not able to continue with their obligations.

Referees need to reflect a wide range of backgrounds and relationships with the Candidate, e.g. family, friends, work colleagues.

Steps in the process of a Membership Application – Junior, Intermediate & Adult

Proposer

The Proposer completes an online form to request their Candidate to be considered for membership of the Club – Membership Request Form

After consideration by the Membership Sub-Committee, and if agreed, the Candidate, Seconder and Referees will be contacted.

The Proposer will continue to work with the Candidate, Seconder and Referees until all online forms are submitted.

Candidate, Seconder and Referees

When approved, the Membership Manager will release links for the Candidate, Seconder and Referees to submit completed online forms.

While completing the online form the Candidate will be invited to select which category they would prefer. Presently categories are capped as to the number of players in each one. Intermediate and Adult, 5- and 6-Day categories are currently closed.

A copy of the Subscription and Entrance Fee structure is available under the Members Tab on the Club Website.

The Intermediate or Adult Candidate will receive a letter confirming their application process is underway and advising a $1000 deposit will be duly invoiced. The deposit will be deducted off the full Entrance Fee when becoming a member.

Committee Approval

When all Application forms are approved, a Candidates list will be posted on the Club website, as well as on the Club notice board, for 14 days.

At the Committee Meeting immediately following the 14 days, and once Nomination Forms have been validated by the Proposer and Seconder, each of the Committee Members, Presidents and Vice-Presidents will vote on the Candidate’s List for Membership.

There may be times when the Committee may choose to meet the applicant via a formal interview or through a game of golf before accepting them as a member.

If no objections are raised, the newly elected Intermediate or Adult Member will then be added to the Membership Waitlist or be invited into membership of the Club. When invited into membership, they will receive a Welcome Letter and invoices for Entrance and Subscription Fees, on a pro rata basis to the end of that financial year. Juniors who have family at the Club do not go onto the Waitlist, nor do they pay an Entrance Fee when becoming a Member. The Candidate will be asked to attend an induction meeting with the CEO or Director of Golf where they will be welcomed to the Club, explained the Club protocols, given an opportunity to ask any questions, and receive their bespoke New Member Welcome Pack.

Each year, Members who have joined in the previous 12 months will be invited, along with their Proposer for a game of golf and welcome function.

Junior 1 Candidates

To meet the Children’s Act 2014, and the ruling of NZ Golf, the Club undertakes Police Screening of staff who may at times coach Junior 1 members. Whether staff are in direct or indirect child/young person facing positions, in the world of golf, NZ Golf regard safeguarding as a shared responsibility which means responsibilities are across everyone involved in the Club. We would therefore ask that you provide assurances when submitting a request for a Junior Application Form that your Candidate will have a family member or adult friend overseeing their well-being when at the Club if they are not in direct attendance of a staff member.

Junior to Intermediate Membership

When a Junior member reaches the age of 26 years, the Committee will approve their continuation into Intermediate membership. Each year, the process will be as follows:

  1. At the July Committee Meeting – the Membership Manager will submit the names of Juniors moving to Intermediate membership in the following subscription year, for the Committee to approve.
  2. August – those Junior to Intermediate members approved by the Committee, will receive subscription pro-rata invoicing for Junior 2 and Intermediate membership for the following subscription year.
  3. From October, on the 26th birthdate of the Intermediate member, the first instalment of the Entrance Fees will be invoiced.

Junior Members who do not wish to continue their membership into the Intermediate category, will resign from the Club from 30 September, prior to their 26th birthday.
